Introduction

IMAGIMATIC LLC ("we," "us," or "our") operates the Voice Planner mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App.

We are committed to protecting your privacy. Voice Planner is designed with a privacy-first approach—your voice recordings and personal content never leave your device. Please read this Privacy Policy carefully. By using the App, you agree to the collection and use of information in accordance with this policy.


Information We Collect

Information You Provide

Account Information

When you sign in with Apple, we receive:

  • A unique account identifier
  • Optionally, your name and email address (which may be an Apple relay address)

This information is used solely to identify your account and manage your subscription.

Information Collected Automatically

Device and Technical Information

When you use the App, we automatically collect:

  • Device type and model
  • Operating system version
  • App version
  • Anonymous usage analytics (features used, screens viewed)
  • Performance metrics
  • Subscription status

Identifiers

  • Anonymous user identifiers (GUIDs) that cannot be used to personally identify you
  • Subscription identifiers for payment processing

Information We Do NOT Collect

We want to be absolutely clear about what we do NOT collect:

  • Voice Recordings: Your audio recordings are stored only on your device. We never receive, transmit, or store your voice recordings on our servers.
  • Transcripts: Transcriptions generated from your voice recordings remain on your device and in your iCloud account (if enabled). We do not collect or store your transcripts on our servers.
  • Tasks, Notes, and Extracted Content: All content extracted from your transcripts (tasks, notes, ideas, etc.) stays on your device and in your iCloud account. We do not collect this information.
  • Space Names and Organization: Your Spaces, categories, and organizational structure remain entirely on your device.
  • Location Data: We do not collect your precise or approximate location.
  • Contacts, Photos, or Other Device Data: We do not access any other data on your device.

Error Logs and Debugging

In the event of app crashes or errors, we may receive diagnostic information to help us identify and fix bugs. This may include:

  • Error messages and stack traces
  • Device and OS information
  • In rare cases, small portions of text that triggered the error

Important: Any diagnostic data that may contain transcript fragments is:

  • Non-identifiable (not linked to your account or personal information)
  • Stored temporarily for debugging purposes only
  • Automatically deleted within 30 days
  • Never used for research, training, or any purpose other than fixing the specific error

How Your Information Is Stored

On Your Device (Local Storage)

The following data is stored only on your device and never transmitted to our servers:

  • Voice recordings (audio files)
  • Transcripts generated from your recordings
  • Tasks, notes, and other extracted content
  • Spaces and organizational structure
  • App preferences and settings

You have complete control over this data. You can view, export, or delete it at any time through the App.

Apple iCloud (CloudKit)

If you have iCloud enabled, your data may sync across your Apple devices using Apple's CloudKit service:

  • This sync is end-to-end managed by Apple
  • Data is encrypted and protected by Apple's security measures
  • Subject to Apple's privacy policies and your iCloud settings
  • We do not have access to your CloudKit data

Your voice recordings, transcripts, tasks, notes, and Spaces sync through CloudKit—not through our servers.

Our Servers

We store only the following on our servers:

  • Account identifiers (anonymous GUIDs)
  • Subscription status and history
  • Aggregated, anonymized analytics (feature usage patterns, not individual behavior)
  • Device and app metadata (OS version, app version—for compatibility and support purposes)

We do NOT store on our servers:

  • Voice recordings
  • Transcripts
  • Tasks, notes, or extracted content
  • Space names or organizational data
  • Any user-generated content

How We Use Your Information

We use the information we collect to:

  • Manage Your Account: Identify you and maintain your subscription
  • Process Payments: Work with Apple and payment processors to handle billing
  • Improve the App: Analyze anonymized, aggregated usage patterns to improve features
  • Fix Bugs: Use error logs to identify and resolve technical issues
  • Provide Support: Respond to your inquiries if you contact us

We do not use your personal information for advertising, marketing to third parties, or any purpose not described in this policy.


Third-Party Services

We work with third-party service providers to operate the App:

Apple Services

  • Sign in with Apple: For secure authentication
  • App Store / StoreKit: For subscription and payment processing
  • CloudKit: For syncing your data across your Apple devices (if enabled)
  • Apple Foundation Models: For on-device AI processing (your data stays on your device)

Subscription Management

We use a third-party service to manage subscriptions and billing. This service receives:

  • Anonymous account identifiers
  • Subscription events (purchase, renewal, cancellation)
  • No user-generated content is shared

Analytics

We may use privacy-focused analytics services that receive:

  • Anonymous, aggregated usage data
  • Device and app metadata
  • No personal information or user content

Future Services

We may integrate additional services for crash reporting, performance monitoring, or enhanced features. Any such services will:

  • Receive only technical diagnostic data
  • Not receive your voice recordings, transcripts, or personal content
  • Be subject to appropriate data protection agreements

If we add features that process your content through cloud services (such as AI providers), we will:

  • Update this Privacy Policy before launching such features
  • Clearly disclose what data is transmitted and how it is handled
  • Ensure no personal identifiers are included with your content

Data Sharing

We do not sell your personal information.

We may share limited information in the following circumstances:

Service Providers: We share data with third-party service providers who help us operate the App (payment processing, analytics). These providers:

  • Receive only the minimum data necessary for their function
  • Are bound by confidentiality obligations
  • Never receive your voice recordings, transcripts, or personal content

Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request.

Business Transfers: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

With Your Consent: We may share information for other purposes with your explicit consent.


Data Retention

On-Device Data: Retained until you delete it or uninstall the App. You have full control.

iCloud Data: Retained according to your iCloud settings and Apple's policies. Deleting the App or disabling iCloud sync will affect this data according to Apple's standard behavior.

Account Information: Retained while your account is active. If you request account deletion, we will delete your account data from our servers within 30 days.

Analytics Data: Anonymized, aggregated analytics may be retained indefinitely for service improvement. This data cannot be linked to you personally.

Error Logs: Diagnostic data is automatically deleted within 30 days.


Your Rights and Choices

Access and Control

You can:

  • View all your content within the App
  • Export your data via the App's share/export features
  • Delete individual recordings, transcripts, or Spaces
  • Delete all App data by uninstalling the App

Account Deletion

To delete your account and any data stored on our servers:

  • Contact us at support@voiceplanner.ai
  • We will process your request within 30 days

Note: Deleting your account does not automatically delete data stored on your device or in iCloud. You must delete that data separately through the App or your device settings.

Analytics Opt-Out

You can disable analytics collection in the App's Settings.

Subscription Management

Manage your subscription through your Apple ID settings or the App Store.


Data Security

We implement appropriate technical and organizational measures to protect your information:

  • Encryption of data in transit (HTTPS/TLS)
  • Secure authentication via Sign in with Apple
  • Anonymous identifiers instead of personal information
  • Minimal data collection and retention
  • Regular security reviews

Your content is protected by design: Since your voice recordings, transcripts, and personal content never leave your device (except to your own iCloud), they benefit from Apple's device-level security and encryption.

However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security of data transmitted over the internet or stored electronically.


International Users

IMAGIMATIC LLC is based in the United States.

Your content stays local: Your voice recordings, transcripts, tasks, notes, and Spaces are stored on your device and in your iCloud account (if enabled). This data does not travel to our servers regardless of where you are located.

Account and subscription data: The limited account information we store (account identifiers, subscription status) may be processed and stored in the United States. By using the App, you consent to this transfer.

iCloud data: If you use iCloud sync, your data may be stored in data centers according to Apple's policies and your region settings. Please refer to Apple's privacy policy for details.


Children's Privacy

The App is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13.

If you are a parent or guardian and believe your child has provided us with personal information, please contact us at support@voiceplanner.ai. If we become aware that we have collected personal information from a child under 13, we will take steps to delete such information.


Your Privacy Rights Under Applicable Law

Depending on your location, you may have certain rights regarding your personal information under applicable privacy laws. These may include rights to access, correct, delete, or port your data, or to object to certain processing.

Because we collect minimal personal information and your content remains on your device:

  • You already have direct access to and control over your content through the App
  • You can delete your content at any time
  • You can export your data using the App's built-in features

To exercise any rights regarding the limited account data we store on our servers, or if you have questions about your privacy rights, contact us at support@voiceplanner.ai. We will respond to your request within 30 days.


Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes:

  • We will update the "Last Updated" date at the top of this policy
  • For material changes, we will provide notice through the App or via email
  • We will post the updated policy on our website

Your continued use of the App after any changes indicates your acceptance of the updated Privacy Policy. If you do not agree with the changes, please stop using the App.
